Position Summary

The Accounting Assistant will support the National Director and the administrative team of Youth for Christ Puerto Rico (YFCPR) in managing, monitoring, and organizing the organization’s finances. This position requires a high level of accuracy, discretion, responsibility, and commitment to YFC’s Christian mission: to reach young people for Christ and involve them in serving God.

Key areas of responsibility 

• Abiding in the Spirit: Spend time in devotion, prayer, and worship individually and with YFCPR team
• Invoice Processing: Create invoices for donors or mission teams in QuickBooks. Follow up payments and donations to maintain accurate records on the accounting platform. Review, send, and maintain records of all receipts.
• Reports and Budget Support: Generate quarterly reports in QuickBooks as requested by the National Director. Assist in creating the annual budget and monitoring its compliance.
• Deposit Processing: Record deposits in QuickBooks, prepare deposit slips, and make deposits into YFCPR bank accounts. Maintain both digital and physical records of all transactions.
• Online Donations Monitoring: Oversee donations on the Giving Fuel platform. Ensure correct categorization, monitor expiring credit cards for recurring donors, and generate reports.
• Thank You Post Cards: Create and send thank you post cards to each donor.
• Account Reconciliation Reconcile bank accounts, checkbooks, and credit cards daily. Review weekly employee credit card reports and archive receipts in PDF format in the cloud.
• Accounts Payable (Bill.com): Create invoices in Bill.com with the correct categories and classes for approval. Support payment processing, noting that 80% of the organization’s payments are processed through this platform.
• Payroll Support: Coordinate with BTA Group LLC for bi-monthly payroll processing. Verify hourly employees’ work hours according to approved schedules. Process payments in Bill.com to ensure timely deposits.

Requirements 

• Previous experience in accounting, administration, or financial management.
• Proficiency in QuickBooks and online payment platforms (Bill.com, Giving Fuel, or similar).
• Proficient in Microsoft Office and Google Workspace.
• Strong organizational skills, attention to detail, and ability to handle confidential information.
• Personal commitment to the mission and Christian values of Youth for Christ.
• Ability to work independently and as part of a team.

Because the overriding religious purpose and mission of Youth For Christ PR is to communicate and introduce the Gospel of Jesus Christ to young people and their families, and in that regard to make, educate and encourage life-long disciples of the Lord Jesus Christ, it is very important that you as an employee in the movement of Youth For Christ be recognized as an associate minister of the Gospel. Direct Report - National Director of YFCPR.

Terms and condition

The following items depict expectations during the term:
● Adhere to all policies & procedures put in place by YFCPR.
● Attend weekly staff meetings.
● Complete weekly Staff Report & Ministry Update via JotForm before Mondays at 10 am.
● Complete required YFCPR staff training & attend all YFCPR volunteer trainings.
● Represent YFCPR at local events as needed.

Fundraising Responsibilities

All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFCPR. These activities will include but are not limited to extending invitations to fundraising events, recruiting personal circle of influence YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.
